a team member may have some extra free time and just because they have that free time you will dump any work on them if you do everything by yourself in your business then you become the biggest bottleneck of your business this is a well-known fact by a lot of business owners but they still feel stuck when it comes to making sure that they get out of the way and they delegate the tasks and activities to their team members so that they can focus on growth and expansion while the team is driving the day-to-day activities with
consistency and that's why in this video I'm going to teach you a framework which I call as the delegation cycle because delegation is not as simple as dumping a task or activity and telling the team member that you want them to get the job done that's not delegation delegation is an emotional process it's an emotional Journey that you got to take a team member through where they have complete buyin to the responsibility you are assigning to them and they take ownership for the activity that they are supposed to do so for that you need to
follow the delegation cycle the start point of effective delegation is actually co-creation of goals now what do I mean by cocreation of goals think about it the biggest mistake business owners make is that they don't involve their team members in designing the goals and objectives for the business they discard the involvement of team members and they themselves determine what is the goal that they want to achieve for the business and they then dump that goal enforce that goal on the team members and that's where delegation has failed right at the start of the process because
there's no buyin if you want your team members to take ownership you got to involve them in the process of Designing the goals designing the objectives designing the purpose behind the goal so that they have a left brain logic to why this is the goal and they have the right brain connection of the deeper purpose behind that goal so step number one of effective delegation is co-creation of the goal where the team member also has a voice and they are involved in the process of Designing the end objective the next step of Delegation once you've
co-created goals with the team members is to create Clarity of systems and steps now think about it the goal is the end outcome but you need to design the path that people need to follow to be able to achieve that goal and that's where for every single goal of your business be it a financial goal be it a functional or a departmental goal you need to break down systems that have to be followed and steps that have to be implemented in that system to help us reach the desired outcome if you do not have Clarity
of systems and steps then you're assuming that the team members know what to do and that assumption is a very dangerous trap so after co-creation of goals get into the detailing of class Clarity of systems and steps so that you can have the pathway ready to achieve that goal now once you have the clarity of systems and steps the third step in the delegation cycle is what I call capability matching at the end of the day before you assign a task or an activity or a goal to an individual you need to First evaluate does
this individual's capability match the required capability required to do this job effectively and accomplish the goal if the individual does not have the relevant skills relevant knowledge relevant interest and willingness and the relevant attitude to achieve that goal no matter how clearly you break down for them what is the task or activity they have to do they'll be ineffective and inefficient in getting the job done a very very critical part of the delegation process is to make sure you're delegating job roles to individuals based on their capability metrics and not based on the fact that

delegation where you are breaking down tasks and activities and splitting responsibilities and assigning them to individuals on your team now please understand this you cannot design and generate meaningful commitments from team members if you missed the first three steps the first three steps are preparation this is the actual delegation where you derive commitments by designing the details of who how what where and when and by the way delegation doesn't end here it starts from here once you've delegated responsibilities to individuals the cycle of Delegation still continues because then you need to get into consistent reviews
this is where you need to do weekly monthly daily reviews at different levels of the organization and give feedback to people if you're not reviewing you do not have Clarity whether your team is on track for the goals or not and delegation requires reviews therefore you got to have a mechanism of monthly strategic reviews weekly tactical reviews and daily operational reviews so that everything is working like a smooth engine towards an end goal so consistent reviews is your responsibility to make sure that the delegation is successful for the business which brings me to the sixth
and final step of Delegation which is celebration delegation is not just about getting the work done it's about celebrating the wins of what was done it's about recognizing and rewarding those who accomplished the outcomes and have contributed positively to the team and the business goals if you're not going to celebrate you're not going to create positive energy and you're not going to gain more ownership from fellow team members celebration is critical one of the biggest mistakes I see a lot of business owners make is that they are the first ones to criticize but they are
the last ones to celebrate what's actually working and that is a big big big turn for a lot of their team members if you really want to keep the energy higher at the workplace you got to be a leader who's celebrating every single win big or small doesn't matter but create an environment which people love coming to work to and create an environment where there is momentum to get more done when you follow the cycle and you celebrate then you can co-create goals at the next level and continue with the cycle of Delegation and continue
