Google Gemini Full Tutorial for Beginners (Gemini for Google Workspace | Gen AI Tools for Business)

What would be better than a team of experts helping you grow your business? If you're not using Google Gemini, you are missing out on a mastermind of a business mentor, my friend, and you don't want to miss out!

Who likes missing out? I'm Bridget Roor, your host of today's video, and I've been a loyal Google Workspace user for years now. I used it in university, and I use it every single day for my job.

So I'm going to show you how you can use Google Gemini to, one, transform your business and, two, get things done. Can I say that? No, get things done!

Welcome to Learn with Shopify! Let's dive in. So first, we're going to go over what Google Gemini actually is, and then we're going to walk through how you can use it to make your life ten times easier.

Sound like a plan? At the end of this video, I'm going to give you the ultimate prompt to literally have a successful business up and running like tomorrow, if you wanted to, so make sure to stick around! What is Google Gemini?

Think of this like ChatGPT. We all know what that is by now, right? Right!

ChatGPT is awesome for generating creative text formats and can be a lot of fun to play with. But Gemini goes a step further. Because it's a Google product, it's able to tap into the real world through Google Search.

So when you ask it a question, it's going to give you a creative response, and it's going to find relevant and up-to-date information to back it up. And if you're a business owner that uses Google Workspace, boy, am I about to blow your mind! This is a powerful tool for growing or even starting a business.

You can access Gemini on the web, and you can access it directly in your Google Workspace—so like directly in Gmail, Google Docs, or even Google Sheets. You can use Gemini for everyday tasks and research, like writing emails or proofreading your essays. But it can also help you make travel plans or find new recipes based on the ingredients you already have.

You can also literally create your own business from scratch using Gemini for things like idea generation, product development, website copy, product descriptions, image creation—the list goes on! And you can even have Google Gemini act as your personal business coach to help you run said business. It's like having a whole team of experts working for you, but for free!

To access Google Gemini, you can either access it on various Google Workspace apps, which we'll get to shortly, or you can go to g. o. You'll see here that you have your previous chats along the side, and you enter your prompt down here.

Let's talk about writing prompts, though; there is an art to this, and if you're not writing your prompts properly, you're wasting your time. So what I recommend doing when you're starting out is just asking Google Gemini how to formulate your prompts. Let me show you what I mean.

I want to start a tech store that sells refurbished laptops. I need a step-by-step guide to get started. Can you help me formulate a prompt that will generate the best response?

Look at how thorough that prompt is written for you! Let's copy and paste this into the text box, and now you have your new guide to starting a business here. Something cool that Gemini does is it gives you three drafts of the response, so you can pick the one that you like best.

On the bottom of the response, you have some options. You can refine it to make it shorter, longer, or more professional. You can share this chat either on a public link that you can then distribute or export it directly to Gmail or Google Docs.

We'll talk more about these integrations soon. You can also press this Google button, and Gemini will fact-check its response for you—super handy! Now, let's say you wanted to change the original prompt to get a different response.

You can edit it with this pencil icon. So let's add, "This will be a one-product Shopify business," and then you'll see the response was rewritten to match your new prompt. So yeah, that's the basics!

As you start asking Gemini to help you write prompts, you'll get a feel for the way that Gemini likes these prompts written, and then you can freestyle it. I'll give you some prompt suggestions throughout this video to help you out. I'll link them in the description. Now, we're not here to waste time; we're here to save time. So let's go over a few ways that you can guarantee that you're getting the best responses from Google Gemini.

Make sure you're actually reading over each of the drafts. You may like one version of what Gemini writes way better than the first option it shows you. When you go to modify responses, you can select different options using the refine button, but you can also get more specific by just sending another prompt, like “make this written like a press release.

” You can also use external links in your prompt. So why would you do this? Let's say that you're an online store selling refurbished tech products and you're looking for remote employees.

A great way to do this could be to generate a blog post on the comparison of a 9-to-5 versus flexible hours for. . .

Your website should have a call to action to check out your job postings. Here's how to do this in no time: Google your topic. For this, it would be "9 to 5 versus flexible hours.

" Find an article that you like, paste the link into Gemini, and say, "Summarize this article and give me three top takeaways. " Pretty cool, right? Now you can say, "Use this information to generate a blog post for my new store that sells refurbished technology.

" Convince readers that a flexible job is better for mental and physical health, and have a call to action encouraging readers to apply for their dream job at our company. Remember, the more details you give, the better Gemini can tailor the output to you. So, let's recap: to get the most out of Google Gemini, read the drafts, ask for specific refinements, and use external links.

And now is when I blow the minds of all you Google Workspace users! I'm going to show you the true power of Gemini, including how it helps me write this script right in Google Docs. And, by the way, we do actually personally write these scripts for these videos.

If you use Google Workspace every single day—like you use Gmail, Google Docs, and Google Sheets—you are in for a treat! So, you have your Google Workspace account, right? Let's say it's your work email.

To have access to Gemini within your apps, the admin of the Workspace has to add Gemini Business or Gemini Enterprise to your account. You can't do this if you aren't an admin, but you can add it to your personal Gmail. This page right here is on workspace.

com under plans, and there's a link here to access Gemini on your personal plan. Once you've activated it, you'll have tons of integrations with your Google Apps. You'll also have access to Gemini Advanced if you do this, so that's like the upgraded web version, and it gives you access to the newest model of AI.

Think better responses! You'll also see a Gemini button in all of your Google apps. If you select it, a chat will open up similar to the web version, but this means you don't have to switch tabs.

I'm going to show you how to use the integration in each app, and I'll throw in some examples of how you can use Gemini for marketing along the way. Remember that you can use any of these prompts in the free web version of Gemini as well; they just might need a little tweaking. In Gmail, at the bottom, you have an option to "Help me write," or you'll see a pen icon.

Then you can write in a prompt: "A customer eBlast about our Black Friday sale, where we are offering 30% off all refurbished laptops. " Then you can refine it to make it either more formal or elaborate, or even shorter. You'll also have the option to recreate it.

Then you just click "Insert," make it a little bit more personal and branded. Remember that AI is just a starting point; you always want to rework it in your own style. You don't want it to sound like AI wrote it, you know?

So, you can actually do this in Gemini on the free version on the web too. Go to Settings, Extensions, and make sure that you have Google Workspace toggled on. Then you can say, "At Gmail, write me an email to send to my customers regarding our newest restock of laptop accessories," and then you can enter more prompts to refine it.

When it's done, you can share it directly to your Gmail. I actually like this way better than the integration personally because I can have a conversation with it to get more specific with what I want! Let's move over to Google Docs.

This is super cool! I literally used Gemini to help me write this script. I had it written down, and I highlighted something and would just say, "Make this more conversational," or "Help me come up with a metaphor or analogy for this.

" You can also create something from scratch on a new document. Click "Help me write" and say, "Create me a five-week marketing campaign outline for our newest laptop accessory restock. Break tasks down by job title and put it into a calendar format.

" If you love a good spreadsheet but suck at creating them on Google Sheets, head to "Help me organize" and just type in the type of spreadsheet you want made. So, let's say you want a content calendar for SEO blog posts. Type in something like, "Plan me a month's worth of blog post ideas focusing on top search questions around the refurbished tech industry.

Organize it by content pillars and add a spot to link scripts. " Wow! By the way, if you do love a good spreadsheet and you want to learn more about how to use AI with them, I'm going to link a video for you in the description where I teach you how to analyze massive data sets in a fraction of the time using platforms like Chat GPT.

Google also says that at some point, Gemini will be able to edit and analyze data on your sheets. So, you're going to be able to use it to get insights directly from your data. Here's a hack: in the meantime, though, head to Google Drve, go to the Gemini button, and say, "Find the file" and insert your file name in quotations.

Analyze the data and give me three top takeaways. Did you like that? Want to take it up a notch?

Copy the output, head to Google Gemini on the web, paste it, and write the prompt: "Write me the outline for three presentation slides on this. " Pretty cool! But watch this: create a prompt for each slide that I can insert into Gemini on Google Slides.

And yes, you guessed it, let's head over to Google Slides. Head up to the Gemini button, and you'll see prompts, or you can write your own. Paste that prompt from Gemini, and if you like the slide that it generates, select "Insert," and then you can edit it to your liking.

Did you know that Gemini can also create pictures? You can do this on the web version just by saying, "Create an image of," or you can do it right here in Google Slides. Let's say you wanted to change this image; just select it and then select "Create image with Gemini," and then prompt it.

So, I'll say, "An iPhone screen with an arrow pointing up. " Here, you can select the style that you want it in, and you'll have a few images to choose from. Then, you can insert that image right here.

You can also use Gemini and Google Meet for taking notes. This feature is available for Google Workspace users with certain add-ons like Gemini Enterprise, Gemini Education, Premium, or AI meetings and messaging. If you have access to it, Gemini will automatically capture meeting notes and organize them in Google Docs to share with your team.

This is kind of cool: you can have an AI-generated background. So, like, maybe you're in your bedroom and you have a client meeting; you can just type in a text story, and you'll have that background generated. The possibilities are insane.

And that's not all Gemini can do! Gemini also has a direct YouTube integration. So, in Gemini on the web, you can tag YouTube and say, "Find me the best videos about starting a business with AI.

" And would you look at that! Charisma's video from the channel is right there if you want to watch it. I'll link it in the description.

But what's really cool is that Gemini can actually see the content of the video, not just the text from the transcript. So, I could be like, "Scan the contents of the second recommended video and let me know who my target audience is, what the user insight is, why it performs so well, and why engagement is so high. " So cool!

Okay, one last super cool thing, one last thing! I promise: create travel plans with Gemini. So, make sure Google Flights and Google Hotel extensions are on, and say, "Help me generate a travel itinerary for my business trip to LA.

Let me know the cheapest days to fly and four-plus-star hotels under $500 a night. " Well, you witnessed it right here! Looks like I'm going to LA!

So, if you didn't gather it from this video, literally anyone can start a business now, especially with help from AI and user-friendly platforms like Shopify. You can say, "I want to start a successful business on Shopify selling my AI coaching services. I want you to write me a three-month plan to get my business up and running.

Make sure it's written for a complete beginner and walk me through the process step by step. " Your very own business mentor, ladies and gentlemen! So, it says here, "Set up your Shopify store.

" So, you could even highlight that section and be like, "Walk me through setting up the perfect Shopify website, step by step, with theme recommendations and headline ideas. " Now, you have a personalized Shopify guide for your business idea. And I'll help you out a bit too!
