in this video I'm going to show you the most amazing cold email software out there instantly now obviously I'm a little biased but my goal here is to show you all the features that we have to offer and help you see the process from the very beginning all the way to setting up campaigns and deploying them and having your cold emailing blasting the face of the Earth there are features that you probably haven't seen before and that's why I want to show you all of these so that you can best utilize them to help you succeed so let's jump in here and I'm going to show you the whole process so first you got to head over to instantly. a and you got to sign up you can hit get started and type in your information the first thing you're going to want to do is you're going to want to add your emails to this account this is very simple if you're using single accounts and you want to do one by one all you have to do is select your Gmail account or your Microsoft account and we walk you through every single thing you need to and there's options to show you tutorials on how to set up everything from the IMAP and the pop and forwarding all of that if you are someone who wants to use multiple accounts let's say you want 20 30 4 4050 1,000 come over here to the IMAP and SMTP and click on bulk import from CSV this is really great because if you have 100 accounts it can take forever to do one by one uploading the accounts and getting them synced so you click on CSV file and down at the bottom there's a second tab that says sample sheet you can download this or make a copy in here you just put in your email accounts once you have this filled out with let's say 100 accounts you can upload it and you instantly have 20 30 50 accounts with other tools I've used in the past it was a huge headache for me so as you can see here I've got multiple accounts already signed up and when we're in here you're going to want to set up your accounts so that they're formatted and ready to get going now what's really cool here you can come in here and individually enable or alter the settings I have my signature I've set up my daily campaign limits how much time I want in between you can do custom tracking domains that'll help you set that up and check it you have warm-up filter tags here you can also choose to increase the warm-up limits we don't recommend commend disabling the slow warm-up now there's also advanced settings and this is where some of the stuff gets really interesting you can have the warmup happening only on weekdays you can do read emulation all you have to do is hit enable the read emulation what it does is it Scrolls through the emails to make it look like it's human the whole goal here is to make it so that your accounts look as human as possible so they don't get blacklisted so that they get into people's inboxes you can control all the open rates spam protection there's so many options here for you but this is where it gets really cool say you upload a 100 accounts you just click this box at the top come down to select all so I have 20 accounts you come over here to the bulk edit settings I can come in here and set up every single aspect that I want for all of my accounts at one time and so I type in the name the signature all that same information but it updates it in all of the accounts you can also filter through so say you have a th000 accounts that you're monitoring maybe you're an agency and you're doing stuff for multiple people you can see what accounts are having issues right now all of my accounts are warm up and they're active right they're all good but let's say you want to just check in and see if anything is having any issues you can filter by as errors or you can check out if all the custom tracking domains are or not working this account right here doesn't have a custom tracking domain so that tells me that I need to go in and alter that these are ways that you can monitor on a large scale very simply all of your accounts to make sure the health of them is going well if something's not working maybe it's having errors you can pause having that account in other campaigns so that you have time to fix it get it going and you're not having those issues you can also test your domain set up so I have all of my MX SPF and dkm dmar all set up this lets you know if it's working or not if it's not working we have a guide laid out for you so in here we lay out everything you need to do and how you need to do it now you got your accounts plugged in and if you don't already have a database of contacts that you're going to be reaching out to we offer a lead finder now in this example we're going to look for CEOs within the United States and let's do software there's a lot of other filtering options let's say the employees are 25 to 100 I personally go off of employee size when I'm building my campaigns I know some people use Revenue I don't find Revenue to be as strong of a data metric and databases we can also enter in keywords you also have the lookalike domain let's say you're targeting a roofing industry you can take a roofer's website plug it in here and it'll show you job listing you got Technologies let's say you want to Target someone who's using Salesforce we have 10 people that we know are using Salesforce SPF are in the software industry and CRM and also CEOs now this is a new function or new feature that we offer this is relevant news that's recent that you can find on these potential contacts now there's a lot of these and what you can use this for is you can take the news use chat gbt's API and create a unique message based off of that news on a large scale let's do received funding for example maybe you're targeting startups that have just received funding and you want to offer them new features cuz you know they have a budget so you come over here and you can see that in this news column they raised $16. 7 million so you can take that information and have chat gbt create a message like hey saw you just raised this amount of money was wondering if you're looking for SEO services to grow you can also filter by funding type the Departments you're targeting maybe you only want seite or director level you can also go for people's names and company name these are all a great way to find a bunch of people now if you want to use this data you can easily come over here after you selected all the contacts and add them to the campaign that you're building also you can download this into a CSV file maybe you want to take it to another platform add more data based off of what you already got and then bring it back and you can add them to a list let's do CEOs software if you're creating a new list you just got to hit create list now they're added another aspect of this is you can enrich data I'm just going to create fictitious name and I'm going to upload a CSV file these are CEOs of construction companies you can come in here and ask it to enrich the data that you have so maybe you already have databases sitting around and you want more information you can bring it in and we'll enrich it we'll verify the addresses and give you more information once you've enriched data that you already have you can also add it to a campaign or redownload it do as you see fit so you've got the email set up you've got a database of people you want to reach out to the next step is to set up a campaign now how you set up a campaign is on the left hand side you click on the campaigns button and you click add new we're going to do CEO test now if you don't use the lead finder within our platform you can upload a CSV by hitting add leads you can enter emails manually you can use a Google Sheets so we'll use the CSV as an example the same one that we just enriched just as an example you can see here that there are options to import or not import the information that you want uploaded so in this situation I actually want to bring their actual location in because I'm going to use it as part of the email for example I'm going to say this is a custom variable you can also bring in the employees if you want you just have to look through when you're uploading and make sure all the data points from the CSV file that you want uploaded are are going to be uploaded once you've done that scroll all the way to the bottom once again if you want to have your leads verified and enriched you just got to click this box if you're getting this information from somewhere else once you've done that you just click upload all now we get to create our campaign the first thing I want you to do is write your subject line this is probably one of the most famous ones quick question you can come down here if you're not much of a copywriter and you're just starting off we have templates for you to check out at the bottom here of the box you just click on templates and we have a ton of different options for you let's look into content marketing agencies even though I know the contacts I uploaded are from construction companies you can see here we've already formulated custom messaging that you can use for your benefit so let's do getting clients for Content marketing agency all you have to do once you've selected a template is to click use template as you can see the message is already in here something I highly suggest you do as well is after you've chosen a template hopefully when you set up your email accounts you also added your signature and what you can do is you can insert your custom signature per account into here all you have to do is hit variables and then click on signature if you want to see what hypothetically this email will look like when someone receives it in the top right hand side you can see the preview button all you have to do is click that and you can see here what it'll look like and you can see that it's put in this hypothetical person's name couple times here you can also check your deliverability scores we'll click that button real quick in the preview window and it says we're getting a 100 out of 100 if you don't get 100 out of 100 it will tell you what's going on and give you feedback so you can make adjustments as need be if you want to send a test email to see if it goes through you can do that as well I have to just click Send and it will come to your host email address so I came over to my inbox to check this test email out and here it is we can see what it looks like on the receiving end I would suggest you create a few variables within your campaign let's just choose another template here real quick you have let's say three to five different variables and what that means means is in the first email when it's choosing to send an email out from instantly what it's doing is it's selecting between these first three ones and it will track the metrics of which emails are open the most responded to the most and this is a way for you to AB test what's working the best for the market that you're targeting another thing you can do to make your emails even more unique and try a lot of variations is using spend tax you can go over to chat gbt and use spin tax on the text and it will create a lot of variables for you a benefit of this is that when you're sending out thousands of emails a day if there are multiple variants within your campaign and you're using chat gbt to create spin tax within those variants each email will look pretty much unique and so then you won't have issues with blacklists or going into the bounce folder that's why it's important to add multiple variants you want to look like you're sending unique emails to each person you're sending if you want to add another email in the sequence you can choose here how many days later you want to send it let's say 2 days later you're going to send them another email if you want it to be a reply campaign you just got to leave this subject line empty and it will reply to the previous email sent if you want it to be a new email you type in a new subject line here we'll make it a new email just for fun and I'm going to select another template an important part here under variables everything that you upload as data points in your CSV or that transfers over from the lead finding tool you can use as a custom variable within the email this is really help helpful because if you want to hyper personalize what you're sending out the more custom variables you can insert into that personalized messaging the better it makes them feel like you really know who they are we're going to pause for a second on the campaign and under leads I want to show you the API function of chat gbt at the top here right next to ad leads there's a little brain button and it's for AI prompts what you're going to do is you're going to click on here and there are a ton of prompts that the community has put together and you can choose whichever ever one you want all we have to do is select the data point of the website for the prospect we can create the name that we want for the column that it's going to go into or you can just leave it be and all you have to do is Click generate for All Leads okay so as you can see it it's already populated just for this guy a general unique opening sentence so we can go back to the sequence and we can add in a variable if you scroll to the bottom a general unique opening sentence what this will do you're going to have to be creative in your copy but you can make it so that it's populating this gener unique opening sentence for every single person it creates something unique for the data points that the AI has based off of their website now there's a lot of different ways you can spin this people are very creative and it really helps the response rate so if you're getting a little more advanced I really encourage you to plug that in we should also show that you're going to need an open AI API key all you have to do is sign up with open AI get their API key and plug it in right here and you're good to go you can also create your own prompts very easily and intuitively within this process you can choose the level of gbt you want to use and type in here whatever you want tell a joke about the industry and then we'll do let's just do the website again and then hit save that's a really short one other prompts are much more complex you can name the templated prompt give it a description this is so if you make it public other people know how to use it it's also just for yourself for future use use website to create joke right here you can select if you want to allow other people to use it or not and here you can put in the input's name all you have to do is then click save and as you can see now this prompt that I've created is in my own Library let's go back to the sequence that we're building some other features that we have here for you is the basic text alteration let's say you're going to paste in a message and you want to clean it up to make it so it's only text format all you got to do is just come in here select it all and hit clean HTML that will get rid of any unnecessary links or any other data that you just don't want in there you just want only text that's a great way to clean this up you can insert HTML links and the more rich now this one's fun outside of in the signature I highly suggest you insert a unsubscribe link but you can also insert images here so let's say you want to add a Valentine's gift all you have to do is come here and copy the gifts link paste it here and boom you've got a a gift in your email and it can be pretty funny now I wouldn't suggest doing this in your first email because it might increase your chances of going into the spam folder but it's definitely a feature you can insert images and Gifts super simple another thing we also offer is emojis or emoticons there's lots of those also if you want to see the code I don't know a lot of people who are in that depth of level but it's there if you want to do that the next step after you've created your campaign is to schedule it now you can create a new schedule very simply let's do CEO test again I'm going to choose from 8:00 a.
m. to 3:30 p. m.
Eastern's fine and I'm going to make sure the emails are only sending Monday through Friday some people do on the weekends I personally don't but maybe you're targeting people who who work on the weekends and that's appropriate you can then save the schedule and this campaign will be now following this schedule the next step after that is to come over to options you need to select all of the email accounts that you've warmed up and are in the system you need to select the ones that you want for this campaign now the more that you have the higher volume you can send but let's just say we were going to do five of these emails this is a specific campaign blah blah blah these settings are extremely helpful if someone Auto replies like they're out of office this option allows it so that if the auto reply doesn't continue if you want to open the tracking some people like that some people don't you can disable that you can also do link tracking and deliverability optimization this is why you don't want a gift or an image on the first email but this is also very helpful since I have five accounts let's say I I want to do like 25 emails a day for each of them I'm going to put in here 125 emails for the daily limit and then down here under the advanced options you can control the sending pattern maybe you want to add Random 5 minutes here or there maybe you want the max amount of New Leads per day that's the new people you're contacting not just how many emails you're sending maybe you only want it to be 50 a day so it will slowly scale you're going to have to adjust this to how you like prioritizing New Leads what this means is it's a 10 email sequence and you're doing 150 emails a day but 50 New Leads a day it will prioritize the new leads over sending the reply emails let's say you want to send 50 new leads the first email email but you actually have 50 reply emails backed up and it's clogging up the amount you have we will prioritize the new leads over the reply sequence you can also make it so that when you have all those variants in the sequence you can have it prioritize what's working you know on stage two the third variant is getting a lot of responses it will focus on an auto optimize that you can provide matching now this is if you're using Outlook and Gmail you're trying to match so if someone has a Gmail account you're sending from a Gmail account to them some people have all providers within their email accounts so stop campaing for company on a reply what that means is say you're reaching out to 20 people within one organization and one person responds then it stops the Outreach to everyone else within that same organization you can insert an unsubscribed Link in the header can also allow risky emails this is obviously up to you also if you have a CRM like for example let's say you're using pipe drive and you want to do a smart BCC you can add that right here as well once you've chosen all the settings you want you have the schedule you have the Campa and the leads all you have to do is hit launch and then hit publish and then it will go live so now you can see I've created a full campaign from scratch and we can then see how it performs I wanted to show you some metrics of what it could look like for a campaign that's performing and if you're an agency and you have multiple organizations you're working with this is a great option CU up in the settings here you can select different organizations that you're running over here I'm going to show you the metrics of a campaign when you're looking at the analytics of a campaign campaign you can choose what timeline you're looking at this is the last 7 days you can see a 17% reply rate that's amazing for this campaign I didn't have the open rate being tracked so that's why we don't have those metrics but here you can see very easily just hover your mouse over it and it will show you everything that's going on and you can see quickly the open rates reply rates all of that now if you can come down just for this one this was a two email or a two-step campaign and you can see on this campaign which stage replied more so on the first email first step we only got an A % response rate and on the second one we got a 10% so this is just great feedback and a great way to look at how things are going now also under the leads after the campaign you can see people are out of office they're not interested it's all shown in the database too so you could download this or reuse this you could Target people who are out of office a month later that's up to you I'm going to go back to my organization where we're just walking through everything and here is the next thing inbox management is such a headache if you have hundreds of accounts running instantly has a unibox which is a great function cuz right here I can monitor all of my accounts and what's going on I can easily see if people are interested if they're not interested it's all right here for me the others to the right of primary that's just for other emails that are coming into the accounts that are synced up but aren't connected with any campaigns you can check that out so this is all my things that weren't delivered or my test emails that I sent on the left hand side you can also choose to filter the uni box per the campaigns that you've created create it let's say you have 10 campaigns going and you only want to see the responses from one you can filter it this way you can also click on all inboxes and you can select which email you want to see from so I can see all the responses to this specific email and lastly you can filter by unread only or scheduled emails or remind only these are all great ways to filter through and manage your inbox in one location all that being said you can come over here to the right of the inbox button there's a CRM and in here it will manage all of your hot leads who are interested let's go back over to that other organization just to give you an example so you can see here that it's instantly populated people who've responded positively into the interested column meetings booked and you can easily just click and grab and move people to whatever stage you want them to be in if it's not accurate in the moment you can also search by day and there are other ways to sort through there's lots of options here for you to manage all of your leads now once you've checked all that out under your accounts you can see right here that they have a health score you want this to be on the higher end and this little green emblem will show you that if it's healthy or not make sure that your accounts are doing good on the scoring metric I would try to keep it above 85 try to keep things around there and if they get lower just pause them don't have them running any campaigns and let them just run on the warm-up cycle under lead management you can also do the AI prompts this is a great way for you to manage your lists you can also look at the leads in the campaigns so so once again if you have 15 20 30 40 50 campaigns going you can check this all out and once again you can filter people for example right here you can see this email is risky that means instantly he not going to send them an email because we don't want it to bounce these other ones were verified another thing when you're setting up your account you're going to come up here to the right hand side click on your name or organization and go to settings now under settings you can see everything about your account how many contacts you've used an uploaded contact that's referring to the contacts Within the campaigns that are on your account so if you have 10 campaigns with a thousand people contacts or leads within each campaign this number would be 10,000 depending on your subscription you can only have a certain amount on the platform if you want to bring on more and you've already filled up you'll have to delete older campaigns to open up more space you can increase your plan very easily and it will tell you what it's going to cost you can sign up for the growth plan or the light speed under account basic information the name on it the email and your password you can add other people to your organization you can name your organization as well and you can easily invite other people so say you're running an agency and you want people to help you write campaigns you can easily add them no problem here you can create lead labels so let's do Roofing interested now what you can use this custom lead label that you've created go over to your unibox and we can select on anybody and under here you can instantly label this person as a roofing interested it can help you categorize and filter through you can create a lot of custom lead labels so that when you're sorting through your uni box you have more control now let's go back if you're an agency under lead labels you can select agency and you can put your website and your logo and your clients and all that within here also Integrations this is a big deal maybe use slack or pipe drive we all have these all set up to help you integrate with other platforms and you can use web H hope as well now with preferences it's good to put a deal value to your leads so you can quantify what you're doing how much money you're generating or how much potential sales you're generating now under the AI inbox manager what this is it automatically response to positive replies that you get in your campaign within a 5- minute period you can also have suggested replies you can also have automatically tag the interest status of the replies so if someone says not interested please unsubscribe it'll label them as not interested you can automatically tag out of office status and automatically add people who unsubscribe to a block list so if someone un subscribes you want to make sure that throughout all your campaigns that they're not going to be reached out to again if you scroll down a little further under the uni box there are auto replies that you can have shown and you can also save non- instantly emails in your uni boox lastly you can have it so that if an account disconnects you'll get a notification and you can choose to have positive reply notifications under here as well you can see everyone who's under the block list and you can also upload block lists from a Google Sheets CSV and that way you make sure that from previous campaigns that these people people aren't reached out to also under this we show you an example of how to format your block list it's pretty simple and straightforward but you just make sure that these domains aren't reached out to down here on the leftand side there's the accelerator we have all sorts of free information for
